Office Manager

The Office Manager will organize and coordinate administrative duties, procedures, and executive support-related tasks in order to ensure organizational effectiveness, efficiency, and safety.

Job Summary:

Reporting to the Director of Operations, the Office Manager will organize and coordinate administrative duties, procedures, and executive support-related tasks in order to ensure organizational effectiveness, efficiency, and safety. The Office Manager is responsible for managing intra-office communication protocols, streamlining administrative procedures, inventory control, and task delegation. A successful Office Manager does not mind filling multiple roles as needed and can work independently with little to no supervision. This role requires someone who is professional, energetic, well-organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.


NDN Collective is the most ambitious, systemic effort to empower Indigenous Peoples in the history of philanthropy. We are creating a paradigm change in how society invests in Indigenous Peoples by dramatically scaling up investment and shifting decision-making power. We are doing four key things to create a new ecosystem that supports Indigenous self-determination:

  2. We are creating an Indigenous-led CDFI to move $100M of for-profit investment into projects led by and serving Indigenous communities.
  3. We are building capacity in Indigenous communities to be able to absorb this new influx of capital.
  4. We are advocating for Indigenous rights and policy changes that will enable our peoples and communities to thrive.

Primary Duties and Responsibilities

  • Assists with organizing and facilitation of meetings and appointments at NDN Headquarters while maintaining a safe, secure, and pleasant work environment.
  • Coordinates with the IT department on the tracking of all office equipment, furniture, and electronic devices to ensure proper documentation of inventory
  • Provides general support to visitors and guests by handling inquiries, issues, and complaints
  • Acts as point person for maintenance, mail and shipping, procurement of supplies/equipment, and paying of some bills. Manages contracts and price negotiations with vendors, service providers, and property owner(s), ensuring that all items are invoiced, paid on time, and that supply requisitions are reviewed and approved
  • Manages office and facilities productivity and efficiency by leading and delegating daily clerical and administrative tasks, assignments, and responsibilities with team members; monitors project completion; provides adequate coaching and guidance as necessary
  • Works with the Director of Operations to: develop, design, implement, and oversee the adherence of office policies and procedures; ensure office financial objectives are met by assisting in the creation of annual office budget; remains up-to-date on organizational news by attending internal and external meetings as necessary.
  • Participates actively in the planning and execution of organizational events
  • Ensures data management and filing systems are current, correctly-maintained, secure, confidential, and handled with integrity
  • Monitors and analyzes internal processes and prepares operational reports to ensure efficiency


Education and Experience

Bachelor’s Degree preferred or a minimum of 3-4 years of verifiable experience as an Office/Administrative Manager or Executive Assistant with similar duties.

Knowledge and Skills

  • Advanced knowledge of office management responsibilities, systems, and procedures.
  • Excellent computer skills with proficiency in Microsoft Office and Google Suite. 
  • Experience, knowledge, and proficiency in utilizing various financial software systems, inventory tracking systems, as well as the ability to create interactive forms with applications such as Jotform or Google Forms
  • Excellent written and verbal communication skills; Strong organizational, planning, and problem solving skills; and pays attention to detail
  • Strong knowledge of clerical practices and procedures including accounting, data management, and administrative management
  • Basic knowledge of human resources practices and procedures as well as business and management principles.

This position is salaried, commensurate with experience, at a GS 10 level with a salary ranging from $48,322-$62,819. Benefits include medical, dental, and vision insurance, as well as a 401 (k) retirement plan, a wellness program, personal leave, and professional development.
